    Position Description:

    We are seeking a Parts Administrative Assistant to join our amazing team! You will be responsible for overseeing and coordinating the duties and responsibility of all parts/down systems-ordering, receiving and recording various parts. You will also keep track of inventory, credit card payments and invoices.

    Roles & Responsibilities:

    • Create PO’s and send invoices
    • Create BOL’s
    • Process credit card payments and credit card applications for new clients
    • Review current/past due invoices on a weekly basis and contacts clients on overdue invoices
    • Create marketing emails through constant contact
    • Track inventory orders and financial reports on a daily basis
    • Receive and record new/broken down systems and parts; upload them into Inventory System-Fishbowl
    • Renew DOTmed listings for parts for sale
    • Record quoted parts in Salesforce

    Skills and Experience Requirements:

    • High School diploma or GED required
    • Working knowledge of Word, Excel, and Lotus Notes preferred
    • Fishbowl and Salesforce preferred but will train
    • The ability to multi-task
    • Excellent verbal and written communication skills
    • Strong interpersonal and communication skills; experience in effectively communicating and the ability to act decisively to resolve problems

    Physical Demand and Work Environment

    While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel. The employee frequently is required to stand, walk, sit, reach with hands and arms, and talk or hear. The employee is occasionally required to climb or balance, stoop, kneel, and crouch. The employee must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
